Job Description:
Job Purpose (Accountability)
- To support the contract management process by preparing, reviewing, and maintaining procurement-related contracts in compliance with company policies and legal standards.
- To coordinate with internal stakeholders and vendors to ensure timely execution, accuracy, and completeness of contractual documents.
- To maintain an organized contract database and ensure proper documentation for audit readiness and reference.
- To assist in monitoring contract terms, obligations, and expiry dates to ensure timely renewals, amendments, or closures.
- To contribute to risk mitigation by ensuring contracts reflect agreed terms and escalate deviations to supervisors or legal as needed.
Duties / Responsibilities
- Prepare, draft, and format procurement-related contracts, agreements, and amendments in coordination with internal teams and vendors.
- Review contract terms to ensure completeness, accuracy, and alignment with company policies and legal requirements.
- Coordinate with relevant departments to facilitate contract approval and execution workflows.
- Maintain and update the contract management system or database, ensuring proper filing, tracking, and retrieval of all contractual documents.
- Monitor contract timelines, obligations, and key milestones to support timely renewals, extensions, or closures.
- Assist in resolving contract-related issues or discrepancies in collaboration with supervisors and relevant stakeholders.
- Ensure all contracts are audit-ready and compliant with internal controls, procurement standards, and regulatory guidelines.
- Support continuous improvement in contract templates, processes, and standard operating procedures to enhance efficiency and compliance.
Duties / Responsibilities (Additional)
- Follow up with internal users or vendors to gather required documents or clarifications for contract finalization.
- Assist in coordinating contract sign-off processes, both physical and digital, and ensure proper documentation of approvals.
- Track vendor performance and contract deliverables to ensure compliance with agreed terms and service levels.
- Participate in internal meetings or reviews to provide contract status updates, flag potential risks, and suggest process improvements.
- Assist in preparing reports, summaries, and dashboards related to contract status, value, expiry, and risk.
- Keep abreast of relevant procurement laws, company policy updates, and market best practices in contract management.
- Perform any tasks assigned by superior.
